Closing out Work Orders: Three Steps 1) Work Order must be marked as “Work Completed” in Yardi. a. On the Yardi homepage, click the “Pending Work Orders” tab in the middle of the page. i. Scroll through the list and search by Work Order No. (found in the top right corner of the paper copy). i . Click on the Work Order No. to open, found on the left-hand column i i. Click the “Edit” button found in the middle of the page, then change the status box to “Work Completed.”
b. Add maintenance specialist’s notes in the “Technician Notes” box at the bottom of the page. c. On the “Labor” tab in the middle of the page, enter maintenance specialist’s username for our records. i. Scott: swooden i . Everest: chrivoel (Note: Heath is technical y the groundskeeper, so if he completes a work order you’l simply have to add his name in the “Technician Notes” box). d. Maintenance gets graded on how fast these get completed, so the faster they are cleared the better! i. HELPFUL HINT: When moving from one work order to another, it can be a hassle going back to the Yardi Home Page and scrol ing to find your next one. Instead, use the white box in the top right-hand corner of the Yardi screen to type in and search for the next work order by Work Order No. Then just click anywhere, and the new one wil appear! 2) Contact Resident

Use one of the fol owing scripts: i. “Hi, [First Name]! Maintenance has [replaced/fixed/serviced] your [refrigerator/A/C unit/etc.]! Let us know if problems persist, and have a great day!” i . “Hey, [First Name]! We [replaced/fixed/serviced] your [refrigerator/A/C unit/etc.]. Is everything to your satisfaction?” i i. “Hel o, [First Name]! We [replaced/fixed/serviced] your [refrigerator/A/C unit/etc.]. Let us know if you need anything else!” 3) File in Rental Manager’s Office a. Each and every apartment has its own smal section in the RM’s black filing cabinets, and each section has a folder for each tenant, as wel as a folder for work orders. Place completed work orders WITH maintenance initial or signature and notes in its corresponding folder.
